Privacy Policy

This policy explains how Quantiko Technologies LLC (“Quantiko”, “we”, “us”) collects, uses, shares, and protects information when you use iCerebro — our mobile app, our web app, and the related services (together, the “Service”).
In short. iCerebro is business software used by a company and its employees. We collect what the Service needs to do its job — your account details and the work your company records in it. We do not sell personal information, and we do not use your company's data to advertise to you.
1. Who this applies to
iCerebro accounts are issued by a company to its owners, office staff, and crew. When your company puts data into iCerebro — customer records, job photos, estimates, invoices — that company decides what goes in and who can see it, and we process it on that company's behalf. If you are an employee or a customer of that company and you want data corrected or removed, start with the company. You can also contact us and we will help.
2. Information we collect
- Account information. Name, email address, password (stored only as a cryptographic hash), the company you belong to, and your role in it.
- Business records you create. Customers, jobs, measurements, estimates, invoices, expenses, receipts, documents, schedules, and messages between teammates in the app.
- Field captures. Photos and videos you record, along with the job, the person, the date and time, and — when you allow location access — the location where the capture was taken.
- Files you upload. Documents, plans, bank or card statements, and images you choose to attach to a job or import.
- Address and property information. Job site addresses you enter, and the satellite imagery and property geometry we retrieve for those addresses to produce measurements.
- Technical and usage data. Device and app version, log and error data, and records of actions taken in the Service (an audit trail — who did what, and when).
We do not collect information from the device beyond what is described here, and we do not track you across other companies' apps or websites.
3. Device permissions on mobile
The mobile app asks for these permissions. Each is optional, is asked for at the moment it is needed, and can be turned off in iOS Settings — turning one off only disables the feature that uses it.
- Camera — to capture job site photos and videos.
- Microphone — to record audio with job site videos and for voice input in the in-app assistant.
- Location (while in use) — to tag a job site photo or video with where it was taken. We do not track your location in the background.
- Photo library — to let you pick an existing photo, plan, or document to attach to a job.
4. How we use information
- To provide the Service and keep your company's data in sync across devices.
- To authenticate you, enforce roles, and keep one company's data separate from another's.
- To produce measurements, draft material lists, estimates, invoices, and reports from what you enter.
- To read documents and photos you submit for processing — for example, pulling line items off a receipt or identifying what is in a job site photo.
- To send transactional email such as invitations, password resets, and notices about the Service.
- To provide support, investigate problems, prevent abuse, and keep the Service secure.
- To comply with law and enforce our Terms of Service.
5. Artificial intelligence in iCerebro
Some features send content you provide — a photo, a document, or a question you type or speak — through OpenRouter to third-party AI model providers so the Service can identify, extract, summarize, or answer. We send only what the feature needs. For every request, iCerebro directs OpenRouter to route only to providers that OpenRouter classifies as not collecting user data. This routing control is not a promise of zero retention: OpenRouter and model providers may process request content and metadata under their published privacy, security, and legal terms.
AI output in iCerebro is a draft for a human to check. Measurements, material lists, and extracted document data must be verified before they are relied on. Image identification describes what it sees; Ask iCerebro may analyze questions, but its responses are not professional, engineering, legal, tax, medical, or accounting advice.
6. How we share information
We do not sell personal information and we do not share it for advertising. We share information only in these cases:
- Within your company. Teammates see the company's data according to their role. The audit trail records who did what.
- With people your company shares with. If your company sends an estimate, invoice, or project view to its customer, that customer sees what was sent to them.
- Service providers. Vendors that run parts of the Service under contract and may only process data on our instructions. They currently include providers of cloud hosting and databases, file storage, AI model inference, mapping and property imagery, transactional email, and — if you connect it — your calendar provider.
- Legal. When required by law, subpoena, or to protect the rights, safety, and property of Quantiko, our customers, or the public.
- Business transfer. If Quantiko is involved in a merger, acquisition, or sale of assets, data may transfer as part of it; this policy continues to apply until you are told otherwise.
7. Integrations you turn on
Some features connect iCerebro to an outside account you own — for example a calendar. You authorize the connection, we store the access credentials on our servers only, we use them only for the feature you enabled, and you can disconnect at any time, which revokes our access going forward.
8. Retention
We keep your company's data while the account is active. A verified company owner may request company-account deletion through Support. We will confirm the affected records and the applicable deletion timeline before processing the request. Some records may need to be retained for legal, tax, accounting, security, or backup-continuity purposes.
9. Your choices and rights
- Access and correction. Most of your data is visible and editable in the app. For anything else, email us.
- Deletion. You can request deletion of your account and its data — see Support for how, and section 8 for what we keep.
- Permissions. Camera, microphone, location, photo library access can each be turned off in your device settings.
- Email. You can opt out of non-essential email. We still send account and transactional messages.
- Depending on where you live, you may have additional rights over your personal information — to know, to delete, to correct, to receive a copy, and not to be discriminated against for exercising them. Email legal@icerebro.com and we will honor them.
10. Security
Data is encrypted in transit and at rest with our infrastructure providers. Access is scoped to your company and enforced on the server, not just in the app. Passwords are stored hashed. Sensitive keys and third-party credentials live server-side and are never shipped to your device. No system is perfectly secure, but we take this seriously — if a breach affects your data, we will notify you as required by law.
11. Children
iCerebro is business software for people working at a company. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
12. Where data is processed
Quantiko Technologies LLC is based in the United States, and the Service and its providers process data in the United States. If you use iCerebro from another country, you are sending your information to the United States.
13. Changes to this policy
We may update this policy. When we do, we change the “Last updated” date above, and for material changes we notify account owners by email or in the app before the change takes effect.
